Who we are
Your information is being collected by the NSW Department of Customer Service (DCS) and used by Government Technology Platforms (GTP), a part of DCS.
All NSW Government applicants and employees are provided with a myCareer Privacy Collection Notice when they apply for a role through the myCareer recruitment and employment portal. This GTP Colleagues Privacy Collection Notice intends to complement the myCareer Notice by explaining how your information will be handled within GTP.
Why we collect information
DCS collects personal information for the purposes of administering and managing your employee relationship. Detailed information about the purpose of collection is outlined in the NSW Government myCareer Privacy Collection Notice (see: How do we use the information collected?).
Laws requiring collection
Some of the information collected by DCS is required to be collected under certain laws. Other information can be provided on a voluntary basis. The NSW Government myCareer Privacy Collection Notice.
Failure to provide information
If you fail to provide some or all of the information requested, we may be unable to effectively administer our employee relationship with you.
You must keep us informed of changes to your information. You can update your information at anytime through the DCS SAP Self-Service Portal.
How we collect information
The NSW Government myCareer Privacy Collection Notice outlines how information is collected from you. We may also collect information directly from you during the course of your employee relationship with DCS.
The kinds of information we collect
The NSW Government myCareer Privacy Collection Notice outlines the kinds of information that are collected through the myCareer portal. Additional information may also be collected directly from you throughout your period of employment with DCS.
GTP Employee Resource App
GTP have developed an Employee Resource App which pulls certain categories of employee information from DCS People & Culture systems into one central platform to enable efficient resource management. The kinds of information include:
- Role title and related information, such as job duties and funding source
- Employee details, including employee identification number, start and end dates, and employment type
- Salary (actual and band/step)
- Leave balances
- Mandatory training completion rates
- Whether a MyPerformance goal is in place (Yes/No)
- Documenting of performance conversations
- Details of any non-disclosure agreements
- Individual feedback and insights
- Individual training completion records.
Atlassian Applications
GTP uses Atlassian applications (Jira, Confluence) to undertake, manage and report on our programs of work.
Jira pulls basic employee information from DCS People & Culture systems and combines it with other information collected through Atlassian applications. The kinds of information include:
- Full name
- Role title
- Activities logged in Atlassian applications
- Comments made in Atlassian applications.
How we use information
We use the information that is consolidated into the GTP Employee Resource App to:
- Streamline workforce management and reporting
- Maintain a central location to manage our people
- Plug gaps between DCS processes and ISO requirements in line with our ISMS
- Automate some of our manual processes
- Record your individual training completion and send you reminders
- Respond to your individual feedback and insights
- Or for other directly related purposes.
We use the information in Atlassian applications to:
- Streamline project management and reporting
- Maintain a record of project activities and workflows
- Work out how many days an issue has been assigned to a particular GTP employee in Jira
- Work out how many days an issue assigned to a particular GTP employee has been in a particular workflow status in Jira
- Or for other directly related purposes.
Who we share information with
We will not disclose your information to anybody else, except:
- With your line manager
- As outlined in this Notice, the myCareer Privacy Collection Notice, or in our Privacy Statement
- with DCS colleagues involved in ensuring your wellbeing in the workplace, or managing your wellbeing (including any reasonable adjustments at work).
- in relation to Atlassian applications, with anyone who is managing or administering a project you are working on.
- When you have given your consent
- Where we are authorised to do so by law.
How long we keep information for
We will only keep information for as long as we need it to fulfil the purposes, we collected it for. After which, the information will be disposed of securely in accordance with the State Records Act 1998, and any other applicable legislation.
How we keep information secure
DCS maintain a Privacy Management Plan, which outlines how we comply with NSW privacy laws, and the measures we have in place to help protect personal information from loss, unauthorised access, use, modification, disclosure, or other misuse.

Subject to certain conditions, you have the following rights in relation to your personal information:

- The right to request correction of your personal information.
